Office Manager and PA to Senior Advisor required for an established Corporate Company based in Gibraltar. As Office Manager and PA to Senior Advisor, you will play a crucial role in ensuring the smooth operation of our office environment by combining administrative, organisational, and communicative tasks. This position requires a versatile individual capable of managing various responsibilities to support the overall performance of the organisation.

What You Will Be Doing

  • Assisting the Senior Advisor by managing calendars, scheduling appointments and organising meetings.
  • Assisting the Executive Assistant as required.
  • Handling correspondence and provide general administrative support.
  • Assist in the onboarding process for new hires including liaising with IT Department for equipment procurement and set up and ETB paperwork.
  • Document Management and Records Maintenance.
  • Assist in the planning and execution of office events, meetings, and conferences.
  • Respond to inquiries and provide assistance to visitors and clients.
  • Coordinate travel bookings and itineraries for staff members, including hotels, hire cars and taxis etc.
  • Keep track of office supplies and restock as needed.
  • Liaise with facility management vendors, including cleaning, maintenance and building management.
  • Liaise with IT Department, logging and resolving any issues that may arise.
  • General support to the wider team as required.

What You Will Need to Succeed in This Role

  • Minimum of 2 years proven experience as an Administrative Assistant or similar role.
  • Knowledge of Office Administrator responsibilities, systems and procedures.
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular).
  • Excellent time management skills and ability to multi-task and prioritise work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • A creative mind with an ability to suggest improvements.
